When you register for DocNex, we collect the following personal information:

• Name — your full name as it appears on your professional credentials.
• Email address — the email you provide during registration.
• Specialty — your professional specialty, if applicable.
• Title — your professional title, if applicable.
• Education — your educational background and qualifications, if provided.

As you use the platform, we may collect additional information necessary to deliver our services — including user interactions, data shared within the platform, and technical signals such as device information and IP address.

ii.How we use your information

• Account management — create and manage your account, send notifications, and provide customer support.
• Communication — send updates, product news, and information related to DocNex features.
• Data sharing between users — your name, email, specialty, title, and education may be visible to other registered users when this is necessary to facilitate communication or transactions within the platform.
• Improvement & analytics — analyze user behavior, preferences, and feedback to improve the platform.

iii.Sharing your information

We share your personal information primarily with other DocNex users, to enable communication and transactions within the platform. We do not sell, rent, or lease your personal information to third parties.

Beyond this, we may share information in the following limited circumstances:

• Service providers — with third parties who help us operate DocNex (hosting, customer support, analytics). They are bound to handle data securely and only for the services they provide on our behalf.
• Legal requirements — when required by law, such as in response to a subpoena, court order, or other legal process under UAE laws and regulations.
• With your consent — where you have explicitly authorized the sharing.

iv.Data security

We implement reasonable technical and organizational measures to protect your information from unauthorized access, alteration, or disclosure. DocNex operates with end-to-end encryption (AES-256 at rest, TLS 1.2/1.3 in transit), role-based access control, and multi-factor authentication, on UAE-based secure cloud infrastructure.

That said, no method of internet transmission or electronic storage is 100% secure, and we cannot guarantee absolute security. If you have any concerns about the security of your data, please contact us.

v.Your rights & choices

Under the UAE Data Protection Law, you have the right to:

• Access — request a copy of the personal information we hold about you.
• Update — correct or update your personal information.
• Delete — request deletion of your personal information. Certain information may be retained for legal or operational reasons.
• Withdraw consent — withdraw your consent at any time, where we rely on consent to process your data.

vi.Data retention

We retain your personal information for as long as your account is active, or as needed to provide our services. If you wish to delete your account or request that we no longer use your information, contact us. We will retain and use information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

DocNex is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete it.

viii.Data transfers

As part of the services provided by DocNex, your personal information may be transferred to and stored on servers located outside the UAE. Any such transfer complies with applicable data protection laws, with appropriate safeguards in place to protect your data.
